Privacy Notice for Candidates

Grove Ventures and its affiliated companies (“Company”, “we”, “our”, or “us”) are committed to protecting and respecting your privacy as a candidate (“you” or “candidate”). This privacy notice (the “Notice”) sets out the basis on which any personal data (“Personal Data” means any data that can or may be used whether alone or in combination with other information in order to identify you) that you provide to us, or that we otherwise collect, will be processed. This Notice covers all aspects of your interaction with the Company in your capacity as an applicant, including recruitment and pre-employment screening. 

It is important that you read this Notice, together with any other privacy notice we may provide on specific occasions when we are collecting or processing Personal Data about you, so that you are aware of how and why we are using such data. Further information about how we process Personal Data can be found in our general privacy policy, as updated from time to time.

The Company acts as data controller in respect of your Personal Data as an applicant or candidate. If you’d like to get in touch with us, you can also find contact details set out in the ‘Contact Us’ section below.

 

OUR DATA PROTECTION PRINCIPLES  

We are committed to ensure that the Personal Data we process about you will be:

  1. Used lawfully, fairly and in a transparent way.
  2. Collected for specified, explicit and legitimate purposes, and not further processed in a manner that is incompatible with those purposes. 
  3. Adequate, relevant and limited to what is necessary in relation to those purposes.
  4. Accurate and kept up to date.
  5. Kept only as long as necessary for those purposes.
  6. Kept securely.

WHY DO WE COLLECT YOUR PERSONAL DATA?

We collect, store and process Personal Data about you for the following purposes: 

  1. Your candidacy evaluation. 
  2. Supporting essential business and compliance functions.
  3. Complying with legal requirements to which we are subject.
  4. Protect our legal rights.

WHAT INFORMATION WE COLLECT ABOUT YOU  

We receive, collect, store, use and process all or some of the following categories of Personal Data about you as a candidate:

  1. Personal details – such as: your name, title, address, telephone number and personal email address. Information collected for the purposes of your recruitment – Curriculum Vitae (resumé) information (including information such as skills, work experience, education), email correspondences between you and the Company about your candidacy, your responses to questionnaires sent to you by us, materials you or other parties (such as recruiting agencies or background check providers) submitted in relation to your candidacy.
  1. Publicly available online information – such as your LinkedIn profile URL or other similar social network.
  2. We may also collect, store, use and process certain “special categories” of Personal Data – which might be regarded as sensitive under certain jurisdictions – such as information about criminal convictions and offences, racial/ethnic origin, sexual orientation, and dietary requirements (only where we are legally allowed to do so and in accordance with applicable laws).

For candidates in Israel, please note that you are under no legal obligation to provide us with your Personal Data, and you are doing so voluntarily. However, if you choose not to provide certain information, we may not be able to process your application or engage with you.

HOW DO WE COLLECT YOUR PERSONAL DATA? 

We collect Personal Data about candidates through the application and recruitment process, either directly from candidates or sometimes from an employment agency or background check provider. We may also collect additional information from third parties including former employers, credit reference agencies or other background check agencies or publicly available resources (such as social networks).

We may also collect Personal Data about you when you interact with us, e.g. call us, visit our websites or mobile channels, or use services we make available to you in your applicant capacity (e.g. online tests).

HOW DO WE USE YOUR PERSONAL DATA?

Most commonly, we will use your Personal Data in the following circumstances:

  1. To evaluate and consider you as a candidate for open positions. 

This includes, inter alia, evaluating and considering you as a candidate for current and future job opportunities. This also includes reviewing your qualifications and experience in the context of specific roles you have applied for, as well as proactively assessing your suitability for other roles that may become available in the future. For example, we may contact you to update you on the status of your application, schedule interviews or assessments, and ultimately make decisions regarding your recruitment. 

We may retain your information in our candidate database (also referred to as a “talent pool”) for a reasonable period in order to consider you for future vacancies, unless you request us to delete your data.

  1. Where it is necessary for our, or yours, legitimate interests (or those of a third party) as long as your fundamental rights do not override those interests – for example:
  • Business management and planning (including for example to conduct internal studies and improve our recruitment practices).
  • To ensure information security, including preventing unauthorised access to our offices, computers and electronic communications systems, and preventing unauthorised use or malicious software distribution.
  • To document and exercise legal rights or defend from potential claims.

SHARING YOUR PERSONAL DATA WITH THIRD PARTIES

  1. We may share your Personal Data with our service providers and vendors who assist us to collect, process and store your personal data in the context of your candidacy, including our current recruitment platform service provider, Spark Hire, Inc. (“Spark Hire“) whose privacy policy is available here. These third parties are authorized to use your Personal Data only as necessary to provide these services or as otherwise authorized by us.
  2. Personal Data may be shared with, or transferred to, our affiliated corporate group entities (entities controlled by, under common control with, or controlling us, directly or indirectly), for the purpose of evaluating your candidacy for job opportunities within those organizations. 

 

This sharing of Personal Data allows us to assess your suitability not only for roles within our organization but also for relevant positions within the wider group of Affiliates. Each Affiliate will act as an independent data controller with respect to the Personal Data it receives and will process your data in accordance with its own privacy policy and applicable data protection laws. We will ensure that any such transfer is carried out in a secure and lawful manner.

 

  1. We may share your general recruitment status with third parties who submitted your candidacy to us. If your details are submitted to the Company by a third-party (such as an employee of the Company or a recruiting agency), the Company can also give the third-party access to your name, photo and some of the general recruitment status.
  2. If we are required to disclose your Personal Data by a judicial, governmental or regulatory authority to comply with applicable laws, regulations and rules (including, without limitation, federal, state or local laws) and requests of law enforcement, regulatory and other governmental agencies or if required to do so by court order, or with private litigants in response to valid law enforcement process (warrant, subpoena, or court order). 
  3. In the event that we sell or transfer the Company’s shares or assets or undergo a merger or acquisition, or consider any of the foregoing, or in the event of bankruptcy or a comparable event, we reserve the right to transfer, disclose or assign your Personal Data in connection with the foregoing events, including, in connection with, or during negotiations of, any merger or acquisition, sale of Company shares, business or assets, consolidation, restructuring or financing, by or to another company (as applicable).
  4. We may also share your Personal Data internally, as needed, with relevant internal personnel and external advisors – for example:
  1. The Company management and HR teams, consisting of a limited number of individuals.
  2. Individuals performing administrative and IT support functions.
  3. Company’s lawyers, accountants and insurers. 

All our third-party service providers and other entities in the group are required to take appropriate security measures to protect your Personal Data. We do not allow our third-party service providers to use your Personal Data for their own purposes. We only permit them to process your Personal Data for specified purposes and in accordance with our instructions.

OVERSEAS PERSONAL DATA TRANSFERS

For candidates located in Israel, please note that the Company may share and transfer your Personal Data to third parties that may be located outside the State of Israel, including in countries that may provide a different level of data protection than as provided under Israeli law (but the Company takes steps in order to ensure that your Personal Data is properly secured and protected).

For candidates located in the EEA, please note we may need to transfer the Personal Data we collect about you to third parties outside the EEA, in order to perform our contract with you. In order to ensure that your Personal Data does receive an adequate level of protection, we transfer data outside of the EEA by using Standard Contractual Clauses approved by the European Commission or other approved data transfer mechanisms, as applicable, which give Personal Data the same protection it has in Europe. 

HOW DO WE PROTECT YOUR PERSONAL DATA?

We have put in place appropriate security measures to prevent your Personal Data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your Personal Data to those employees and other third parties who have a business need to know. They will only process your Personal Data on our instructions, and they are subject to a duty of confidentiality. 

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

RETAINING YOUR PERSONAL DATA

We will only retain your Personal Data for as long as necessary to fulfil the purposes we collected it for, as detailed in this Notice. To determine the appropriate retention period for Personal Data, we consider the amount, nature, and sensitivity of the Personal Data, the potential risk of harm from unauthorised use or disclosure of your Personal data, the purposes for which we process your Personal Data and whether we can achieve those purposes through other means, and the applicable legal requirements.

In some circumstances we may anonymize your Personal Data so that it can no longer be associated with you, in which case we may use such information without further notice to you.

YOUR RIGHTS AS A DATA SUBJECT  

It is important that the Personal Data we hold about you is accurate and current. Please keep us informed if your Personal Data changes during your candidacy period with us. Under certain circumstances, by applicable law you have the right to:

  1.  Access to your Personal Data. This enables you to receive a copy of the Personal Data we hold about you and to check that we are lawfully processing it.
  2. Correction of your Personal Data. This enables you to have any incomplete, out-of-date, unclear or inaccurate information we hold about you corrected.
  3. Erasure of your Personal Data. This enables you to ask us to delete or remove Personal Data where there is no good reason for us continuing to process it. 
  4. Object to processing of your Personal Data. Where we are relying on a legitimate interest (or that of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. 

You also have the right to object where we are processing your Personal Data for direct marketing purposes and request deletion of such data used for such purpose.

  1. Request the restriction of processing of your Personal Data. This enables you to ask us to suspend the processing of Personal Data about you, for example if you want us to establish its accuracy or the reason for processing it.
  2. Request the transfer of your Personal Data. This enables you to request to receive your Personal Data in a structured, commonly used and machine-readable format and to transmit those data to another party.

COOKIES

Cookies are small text files sent and saved on your device (some of which are necessary for using a website) and they are used for various purposes (e.g. facilitate a website’s use, create aggregate information, services improvement, targeted advertisements and personalization, etc.). You may choose to set your web browser to refuse cookies and manage your cookies preferences (for further information in this regard, please check the cookies policy and relevant information of the web browser provider you use e.g. Safari, Google Chrome, Internet Explorer, etc.).

Our external recruitment platform providers may also use cookies for e.g. track traffic flow and patterns, improvement of a user’s experience, etc. For example, our current recruitment platform Spark Hire uses cookies as further described here.

CHANGES TO THIS PRIVACY NOTICE 

We reserve the right to update this Notice at any time by posting a new version on our website, and we will provide you with a new privacy notice when we make any material updates. We may also notify you in other ways from time to time about the processing of your Personal Data.
